GKN complies with the requirements of data protection and the General Data Protection Regulation (GDPR) legislation. This means any information that can be used to identify someone, such as your address and date of birth. If you have visited our website, that will be considered to be your acceptance to this privacy notice.

What information do we collect? The types of personal information we collect from you will depend on the circumstances of collection and the type of service that you request. For example, when you want to book a class/membership or buy a service either from this website, by email, social media or telephone contact we may collect details such as your name, email address, shipping address, billing address and other information relevant to your booking/purchase. If you attend our classes, then we will record your attendance records, your grading results where applicable, your medical details and any special conditions you have informed us of that we need to know about to keep you safe in our classes. Photography – before we take or use any photographs we will ask you, or a parent if you are under 18 years old, to give permission for us to take and use pictures of you. We might use your pictures for promotional purposes on posters, leaflets, social media or on our website.

How we collect information: We may collect personal information about you when you visit our website, visit us in person or contact us by any other means. We do not collect any personal information that you have not provided us with, therefore your consent for us to collect your data is provided on you giving us your information, this will be when you complete the fields necessary to facilitate a transaction through this website, contact us to request information about our products or services, or from our forms you complete on attendance to classes.

How we use your personal information: We will only use your information when the law allows us to. Generally, we will use your information in the following circumstances:

Consent: you have given us consent to process your personal data for a specific purpose

Contract: the processing is necessary to exercise the contractual terms and conditions between GKN and you. For instance in order to facilitate your access to our website, products and services; to provide classes and / or deliver products you have ordered from GKN; to provide you with information about our products and services

Legal obligation: the processing is necessary to comply with the law (not including contractual obligations)

Vital interests: the processing is necessary to protect someone’s life (such as any relevant medical information)

Disclosure of personal information to third parties: We may disclose your personal information to others for the purpose for which the information was collected or for related purposes, for example to our board members, in the advent of discrepencies towards membership or text, email, WhatsApp requests or other social media messages, which cannot or should not be dealt with by a singular person, to arrange insurance for your training or complete a transaction on your behalf, or provide you with a product you purchased. We may engage third party contractors to perform services for us which involves handling personal information to:

1. facilitate your class and product bookings within a customer database management software

2. provide electronic funds transfer, credit card processing and related services

Access to your information and other rights: You have a right of access to information that we hold about you. Under certain circumstances, by law you have the right to:

Request access: to your personal information (commonly known as a “data subject access request”). This enables you to receive a copy of the personal information we hold about you and to check that we are lawfully processing it. You can request your log in directly to our database or contact us with your request.

What we may need from you: We may need to request specific information from you to help us confirm your identity and ensure your right to access your personal data (or to exercise any of your other rights). This is a security measure to ensure that personal data is not disclosed to any person who has no right to receive it. We may also contact you to ask you for further information in relation to your request to speed up our response.

Request access: of the personal information that we hold about you. This enables you to have any incomplete or inaccurate information we hold about you corrected.

Request erasure: of your personal information. This enables you to ask us to delete or remove personal information where there is no good reason for us continuing to process it. You also have the right to ask us to delete or remove your personal information where you have exercised your right to object to processing where we may have processed your information unlawfully or where we are required to erase your personal data to comply with local law. Note, however, that we may not always be able to comply with your request of erasure for specific legal reasons which will be notified to you, if applicable, at the time of your request.

Personal information may be stored both electronically on our computer system and cloud and on paper within secured storage structures. How long we keep your personal information: We keep it for as long as we need it for the purpose for which it was acquired for in the first place, namely to help us provide our service to you; that is – for the continuation of your membership, and subsequently relevant data for a period of 10 years – as people often resume classes after a break and therefore your archived information can be restored.
